United Way funds education and financial stability in our local community. WHAT IS A NEW HIRES PROGRAM? WHAT INFORMATION SHOULD I SHARE WITH NEW EMPLOYEES? One way to increase employee engagement at your company and support our community is by starting a New Hires Program to encourage recently hired employees to sign up for payroll deduction donation to United Way. A New Hires Program is a great addition to your annual campaign and can be especially helpful for companies who hire employees throughout the year. Mesa United Way supports Mesa and surrounding areas with access to Health, Education and Financial Stability. What does United Way do? HOW DO I IMPLEMENT A NEW HIRES PROGRAM? To set up a successful New Hires Program as part of your campaign: Confirm with your company’s HR payroll, that new employees can sign up for payroll deduction donations and when those new donations will start being deducted. Determine the best way to capture employee pledges. Ask United Way for paper pledge forms or an online pledge site that can be open all year. In your new employee welcome packet or emails include information about United Way such as Directions on how to sign up for payroll deduction or make a one time donation. Include a QR code or link to allow employees to sign up easily or include a paper pledge form. United Way campaign flyers and materials (can be requested from United Way) A letter from the CEO invite employees to give and sharing by your company supports community giving During an employee orientation show United Way videos or allow the campaign leader or other company leadership to speak why your company supports the community. Be sure to point out materials in the packet and how employees can sign up to give. Create a timeline to follow up with employees after orientation to remind them to sign up by a certain time. Provide both your HR/payroll team and United Way with the pledge forms new employees filled out. If you asked United Way to run your online pledging system, discuss with your United Way rep the timeline to review these pledges and send to your company payroll. Way funds health, education, and financial stability services for children, families, and individuals in our local community. Below is more information about implementing a continuous giving campaign this year during the COVID-19 pandemic to help our community today and into the future. WHAT IS CONTINUOUS GIVING? Continuous giving is an easy way to continue your campaign during this community crisis. This allows your current payroll donors the option to keep their payroll donations in place until you run a traditional campaign again. WHAT WILL I NEED TO DO TO IMPLEMENT A CONTINUOUS GIVING CAMPAIGN? To set up a successful continuous giving campaign: Dear [Donor], Thank you for your contribution of $[x] per paycheck to Mesa United Way. Your donations from last year help provided after-school education programs to children, shelter to families expierencing homelessness, guidance to children aging out of foster care, and financial help to families. This year, in place of our traditional campaign activities and meetings, [Company] will allow you to continue your prior payroll deductions for the next year. If you would like to direct your gift to a nonprofit other than Mesa United Way or change the amount of your donations per paycheck, please respond to this email with your charity of choice. If you do not have any changes to your donation, you do not need to take further actions. All donations will continue as set up last year, unless you note changes by [date]. New and continuing donations for this year will start being deducted from your paycheck starting [date]. We would like to invite you to consider increasing your payroll deduction to support other families and individuals in our community who may be struggling during this time. Thank you for joining with other [Company] employees to give back to our community! Sincerely, [Campaign Leader/Payroll Manager] WHAT ARE THE BENEFITS OF CONTINUOUS GIVING? Your employees can still support United Way and our community during this challenging time without your workplace needing to host a full, traditional campaign. It is easy for your donors, as their pledge will continue automatically and they will not need to take any further action unless they choose to opt out or increase their gift amount. Obtain current payroll deduction donors from your Payroll/ HR team and confirm a continuous giving policy can be implemented at your workplace. Send an email/letter (see sample on right) to each payroll donor outlining the following: Last year’s payroll pledges will be rolled over for this coming year’s campaign, unless the donor contacts you to opt out by X date Invites donors to continue to their payroll deduction with the option of increasing the donation amount Donors will need to re-designate where the donation goes (local agency, 501c3), or it will be directed to United Way for wherever it is needed most in our community Return the final list of employees with their payroll pledge amounts and designations (if any) to the United Way. Be sure to update any donors that have left the company. Inform your company payroll contact to change any deductions. 1. 2. a. b. c. 3. 4. WHAT IF I WANT TO POSTPONE OUR CAMPAIGN? Our community’s nonprofits need your support now more than ever. Continuous giving is an important way to bridge the time gap between your organization’s last United Way campaign and your next one. If you would like to postpone your campaign, please work with your United Way representative to determine the best option for your company.
