  1. AGENDA - Before we start - Descriptions, Venues & RSVPs

    - Slides, signage, and sponsors - Promotion & publicity - “Day-of” checklist - Q & A
  2. FIRST: CONFIRM YOUR EVENT DETAILS - Confirm your session date,

    time and location: denverstartupweek.org/schedule - Confirm your description is accurate and compelling, and includes all relevant speaker bios - Check RSVP count (but don’t panic; more on this later) - Come find one of us or e-mail [email protected] if anything is missing or incorrect
  3. YOUR EVENT – VENUE COORDINATION - We’ve matched (almost) all

    session locations - if you don’t have one, let us know - Introduce yourself in advance, confirm physical location, set-up/AV needs and and coordinate a walkthrough if necessary. Please be respectful - venue hosts are volunteers too! - The day of your session, arrive at least 30 minutes early to confirm set-up, test AV, etc. - Bring your own laptop and presentation, be ready to go! - Sessions are booked for 90 minutes, with 30 minutes between to turn the room - you do not need to use the whole time if you don’t want to, but please don’t go long and impact the session after you - Work with us to arrange volunteers if necessary - Sponsors may show up - if they’re there, introduce them and ask them to say a few words
  4. YOUR EVENT – RSVPS - The count on your session’s

    detail page is the number of folks who have added it to their schedule - not necessarily the number that will show up - 25-40% conversion rate from prior RSVPs to actual session attendees is typical - We do not re-home sessions based on RSVP counts except in truly exceptional circumstances - Packed medium-sized rooms are way preferable to huge empty rooms - Keep promoting regardless of the RSVP count!
  5. YOUR EVENT - SLIDES AND SIGNAGE - Logo/Branding - Style

    guide and brand assets at denverstartupweek.org/assets - Slides - We have pre-built templates and sponsor slides for both Keynote and Powerpoint for your use - Denver Startup Week Track poster – place in a visible location and update with your session title - Attendee registration – Our registration numbers are important (it’s one of our major channels for sponsorship and support)! We can’t police registration, but please help volunteers check attendee wristbands, encourage those without a wristband to register online, etc.

  7. YOUR EVENT – SESSION INTRODUCTION Each session should begin with:

    • “Thank you for joining us at the sixth annual Denver Startup Week!” • “Denver Startup Week is the largest free entrepreneurial event of its kind in North America.” • “Thank you to our title sponsors Aging 2.0, Comcast, Chase for Business, the Downtown Denver Partnership and WeWork.” • “This session is part of the [Track Name, Sponsored By], one of six programming tracks aimed at supporting the entire entrepreneurial team.” • “Be sure to share your experience at this session online using #DENStartupWeek!” (feel free to add your own hashtag too)
  8. VOLUNTEERS - Volunteers will be scheduled for larger sessions to

    help deliver signage and check registration. - Please introduce yourself and work with them to make your session the best yet! - Have a plan for crowd control if needed, we cannot guarantee a volunteer at the door.
  9. - We work to promote sessions through official DSW channels,

    but we can’t cover every session in depth. - Your network and our network may not overlap - particularly if you’re presenting on a specific topic/vertical - Promote your session to your network through all of your channels (FB, Twitter, LinkedIn, Instagram, etc.) - Encourage your teams and staff to register for events and spread the word. - Tag & mention us - we’ll retweet and repost wherever we can. Submit to the blog on Medium too! - Leverage session speakers, supporters, groups too! - Use #DENStartupWeek everywhere - we want to get it trending all week! PROMOTION
  10. SPONSORS - Denver Startup Week simply would not happen without

    the support of our sponsors. - Leading up to the week, please be sure to take the opportunity via social media or other channels to thank a few sponsors.
  11. DAY-OF CHECKLIST - Send out any final promotion - Check

    the RSVP count - Arrive at least 30 minutes before your session begins - Update whiteboard signs with your session name - Be ready to go with your laptop and your presentation (including DSW/sponsor slides) - Thanks sponsors before you begin - Wrap in 90 minutes - Have fun!
