  17. Pain Scenario 1 When facing a sudden project delay, how

will we do resource allocation? The consultants have informed the PM that Step 4 Analysis tasks are not expected to be completed in March, and that Sep4 will be extended by one month due to the situation. In other words, it is expected to take time to define requirements until the end of April, the project may be delayed 1 month. However, this customer does not want to extend the Go-Live Date. The target is still December 2025. Cannot change the schedule yet. The consultants said that they want TC1 (Ryota) to be up and running 100% of the time due to high customer demand and increased customization volume. The manpower other than TC1 will be manageable with the same manpower as in March, the project team reported to the PM. MAJI? Really?

  30. Summary What’s learning in this session? ➢ Tune your knowledge

sources (Preview). Need patience to get appropriate answers from the AI Agent. ➢ Even getting help from the Agent, it is vital to check Power BI to see the overall resource load. ➢ It is tough to update the Project Planning Line for the Project Manager. ➢ It is better to archive Project Master before updating the project planning line. Always forget. ➢ It would be wonderful if Copilot could directly help with resource planning at the Project card. ➢ It is also necessary to set up the company calendar. ➢ It is important to set up the Resource Group and Resource Capacity to find available resources. ➢ It is also necessary to have a time zone feature to allocate global resources efficiently, like D365PO. ➢ The summer vacation plan does not always work. Busy people are always busy. ➢ It is important to find a 75% allocation month for consultants to take several days off. ➢ New Japanese words. MAJI? (Really?) ARU ARU (Always happen)

  45. Pain Scenario 3 Expense Claim takes time. It is tough

to enter an expense claim, lots of different receipt formats. We need to issue invoice until due date. Form Preparation: Detailed records and receipts are required. For business trips, you need to itemize expenses like transportation and accommodation. Approval Process: Multiple approvers are often involved, and each one needs time to review the submission. If there are any issues, the form may need to be revised and resubmitted. Verification Tasks: Approvers need to check many details, which can be time-consuming. This is especially true near deadlines when many submissions are received. Submitting from Remote Locations: Paper-based systems can make it difficult to submit expenses from remote locations, requiring employees to wait until they return to the office. MAJI? Really?

This is the process flow. Read Receipt and createApproval Request Create General Journal PM Secretary Consultants Receipt Data Approve Approve Post General Journal Receipt Receipt Receipt Accountant Yes Yes No No
  48. Pain Scenario 4 Vendor Management It is also tough to

manage vendors such as Purchase Order, Timesheet Entry, Service Report, Vendor Invoice Check, Payment Request. Purchase Orders: Creating and managing purchase orders involves multiple steps, including verifying requirements, selecting vendors, negotiating terms, and ensuring compliance with company policies. Each step requires careful attention to detail to avoid errors and ensure timely delivery. Timesheet Entry: This process involves collecting, verifying, and recording the hours worked by vendors. It can be time-consuming due to the need for accuracy and the potential for discrepancies that require resolution. Service Reports: Reviewing service reports involves documenting the services provided, assessing their quality, and ensuring they meet contractual obligations. This often requires coordination with multiple stakeholders and can be labor-intensive. Vendor Invoice Check: Verifying vendor invoices involves cross-checking the billed amounts against purchase orders, delivery receipts, and service reports. This process is crucial to prevent overpayments or discrepancies but can be tedious and time-consuming. Payment Requests: Processing payment requests involves ensuring all necessary approvals are obtained, verifying the accuracy of payment details, and coordinating with the finance department. Delays or errors in this process can impact vendor relationships and financial planning. MAJI? Really?

  53. Pain Scenario 5 Generate an Invoice takes time. It is

tough to create an invoice and pressure, as the Service Report is always delayed. We need to issue an invoice until the due date. Delayed Service Reports: When service reports are delayed, it becomes challenging to gather all the necessary information to accurately reflect the services provided. This delay can cause a bottleneck in the invoicing process. Data Verification: Ensuring that all data on the invoice is correct requires cross-checking with purchase orders, service reports, and timesheets. This verification process is crucial to avoid errors but can be labor-intensive. Approval Processes: Invoices often need to go through multiple levels of approval before they can be issued. Coordinating these approvals can be time-consuming, especially if there are discrepancies or additional questions. Formatting and Compliance: Invoices must be formatted correctly and comply with both company policies and legal requirements. Ensuring compliance can involve detailed checks and adjustments. Communication with Vendors: Clarifying any issues or discrepancies with vendors can take time, especially if there are misunderstandings or disputes that need to be resolved. 61. Summary What’s learning in this session? ➢ It is helpful

to use AI Agent to check data on behalf of the Project Manager, Consultant. ➢ It is also helpful for Sales Assistants and Accountants to use AI Agent to generate invoices/journals ➢ It is important to generate the file layout/definition from D365BC to M365 Copilot. ➢ It is wonderful D365BC will provide native AI agents to act like a secretary for all project members. ➢ MAJI? (Really?) ARU ARU (Always happen)

  63. Sessions Takeaways for Vendors Let’s build our own secretary Part

1 & 2 ➢ Response speed and quality are the major factors in achieving customer satisfaction to meet these requirements, AI Agents must be utilized to reduce the communication between PJ members and management tasks. Do more with less is vital. ➢ Project management requires the cooperation of consultants and developers, but each consultant and developer also take time to input time sheets and share information with PMs. These admin works need to be reduced, and more time used for the client. For consultants and developers, there are huge benefits to using AI Agents. ➢ Project managers should attend project meetings as much as possible to get a sense of what is happening. Need time to learn the D365BC. If a project manager who does not know the latest status of the project and product itself loses credibility with the client. AI Agents have a great advantage in managing service reports, vendors, expenses, resources, and invoices speedily and accurately to have more time to attend PJ mtg and learn the product itself. ➢ IT vendor systems are usually not good. This is because the customer comes first. However, vendors that do not invest in internal IT, including AI, will see an increase in employee turnover. If they create secretaries with AI Agents, and if those secretaries are excellent, employees will have extra power and be able to spend their days in a richer way. Empowering employees is the most important issue for management right now.
  64. Sessions Takeaways for Microsoft Let’s build our own secretary Part

1 & 2 ➢ D365BC and Dynamics 365 Field Service now have more integration capabilities. Will D365BC integrate with Dynamics 365 Project Operations in the future? There is no doubt that D365BC is the best ERP for SMB companies. On behalf of all D365 vendors, I would like to thank the Microsoft R&D team for bringing the product to this level. This is an amazing journey. ➢ D365BC vendors should be the first to utilize D365BC for their internal IT systems and to implement the project module. Because if the reputation of D365BC's project module is very good, other IT vendors will also implement D365BC and create new partners. In addition, if the full use of D365BC's project module and AI can reduce the vendor's project management man-hours and help increase project quality, gross profit, and the vendor will hire more consultants and developers. In addition, the fast implementation will make more license revenue for Microsoft. ➢ For vendors, improving the quality of professional services is a top priority. Increasing the number of cases utilizing the project module, like integration with Microsoft Project, with more and more Copilot standard features, will greatly contribute to the expansion of D365BC's business.
