Site Siobhan Ross, Instructional Technology Yvonne Arruda, Dean, Enrollment Services Adam Hauerwas, Information Technology Providence College Open Apereo June 1 – 4, 2014 Miami, FL http://media.npr.org/assets/img/2011/09/30/ap8612161144_slide-9f5584391c17023b9455fb565e9958663ce01cc5-s6-c30.jpg
  2. Providence College is a primarily undergraduate, liberal arts, independent, not-for-profit,

Catholic institution of higher education. •  Located in historic Providence, Rhode Island •  Founded in 1917, PC is the only college in the nation operated by the Dominican Fathers of Saint Joseph •  ~3,850 undergraduate students •  ~1,800 graduate and continuing education students •  Highlight Program: Development of Western Civilization, 4- semester lecture- and seminar-based courses required for all first and second year students Image courtesy of: http://www.unigo.com/explorer/photos/photodirectory.aspx?collegeid=239
  3. Why Sakai? § Every person on campus has an account § Familiarity

by most faculty, students and staff § Already pay for the service (hosted solution with Asahi Net International) § Good enough http://upload.wikimedia.org/wikipedia/commons/0/0c/Why,_Arizona.jpg
  4. Issue: Placement Testing § Each year, 1000+ students need course registration

prior to Orientation § Placement tests available in: §  Math §  Spanish §  French §  Italian §  “Pre-Orientation Undeclared Interest Survey” § Placement in Math requires both qualitative “knowing what they know” and quantitative “knowing how they perform” measures
  5. Approach: Sakai Tests & Quizzes for Math Placement § Created “Survey”

and “Quiz” for Math § Survey has “multiple select” questions to represent knowledge of concepts § Test has MathML for equations §  Four parts, each part having nine questions §  Maximum score: 999.9 (know each section score at a glance)
  6. There must be more to it than that… § Export responses

from Survey and Quiz § Import those files to an Access database § Gives Math ability to compare together § Also export data from gradebook for language tests
  7. Approach: Sakai Tests & Quizzes for Language Placements § Tests &

Quizzes §  Renamed using Site Editor > Page Order §  Only tool students see § Four sections, including audio portion (stored in Resources)
  8. Language Placements con’t § Faculty use Gradebook2 to evaluate and make

recommended placement and alternate placements § Exported to Access database for complete student picture at orientation
  9. Results: Better Orientation, Workflow § Sakai use by incoming students provides

early introduction to the LMS § Access database provides single dashboard with overview of student performance § Everyone’s work made easier!
  10. Issue: Student Congress Elections § Student Congress voting was tedious to

count, inconvenient to vote on paper § Voter turnout was poor § Counting could be error-prone https://commons.wikimedia.org/wiki/File:Election_MG_3455.JPG
  11. Approach: Evaluations Tool! § Sites in Sakai by Class Year § Evaluations

are “ballots” §  Executive elections posted to all three class years §  Class races posted to each class § Instant results with PDF reports § Increased turnout due to convenience and extended voting times §  53% of freshman class voted!
  12. Results: Overwhelmingly positive response! § Student Congress loves reminder emails at

election open, next day § Students vote in their pajamas § Clear, unambiguous results (with no counting!)
  13. Issue: Domestic & Study Abroad Course Articulation §  Office of

Enrollment Services processes 1300+ articulations per year §  Assembling materials for review took 4 full days/2 staff members §  Requests for articulations were disseminated by campus mail/ email/fax §  Returned articulation decisions filed in 3 binders… just for one term! http://keepitcleanjunkremoval.com/wp-content/uploads/2013/09/officespace2.jpg
  14. What we love about Sakai § Little Training Needed for Organizers

and Participants § Paperless § Centralized § 24/7 Access § Assignment Status and Calendaring Features § Submission & Released Grade Notification Email Options § Faculty are Students in the Project Site http://www.danielfusco.com/wp-content/uploads/Latest-Love.jpeg
  15. Results? § More Efficient Use of Staff Time § Substantial decrease in

time spent (1/2 day and 2 Staff Members) § Better able to manage the process § Majority of feedback from faculty is positive § Great improvement, but not perfect… § No automatic email feature when assignments open § Clunky moving assignment documents to Resources § Thinking of which process to move to Sakai next
  16. Issue: Academic Advising § Heavy emphasis at PC on academic advising

§ Burden on faculty to communicate and coordinate F2F meetings with students § Difficult for students to make appointments § Paper sign-up sheets on office doors not a safe solution
  17. Approach: Advising Sites § Create sites in Sakai based on Advisor/Advisee

relationships §  Sections based on demographics § Use Messages to contact advisees based on major or class year
  18. Approach: Advising Sites § Heavy use of Sign-Up tool to schedule

individual appointments § Email sent to all faculty prior to advising each term with links to video and text instructions
  19. Results? § No more paper! § Students receive reminders automatically; faculty have

less chasing down of students § Email messages targeted to specific groups; more likely to read § Sign-Up tool “advertised” §  Faculty now using in courses for student-selected of presentation times
  20. Issue: How to provide and track required fire safety training

for all resident hall students? § Easy-to-use for student residents § Easy to track who has/hasn’t taken by hall directors § Minimal support for creation § Little to no support for those participating in the training
  21. Approach: Resources, Tests & Quizzes, Gradebook § Resources contains Prezi presentation

created by hall director § Tests & Quizzes used to reinforce presentation § Gradebook2 used to track which students have not completed § Rollout for Fall 2014 semester
