  2. 1. Overview of 360⁰ process 360⁰ Evaluations Employee selects Raters

Ratings can be viewed on the system * HR and Finance process kicks off 360⁰ Complete * includes employee self rating 1 2 3 4 A 360⁰ performance rating provides an employee with the opportunity to obtain valuable feedback on their performance from multiple sources. As an employee you will rate yourself as well as ask your managers, clients and colleagues to provide you with feedback. This feedback is used to gain a better understanding of your strengths and development areas and should give you a holistic view of how you are viewed by your Raters.

    Username, Password and click on the “Log In” button. Click on “Home” at the top left of your landing page and then click on “Performance”. 1 1 2 2

    top left of the page, click on “All Forms”. You will now see your own 360⁰ evaluation form, as well as your direct reports’ forms and any evaluations you have been nominated to complete. Click on the form for the employee whose 360⁰ evaluation progress you wish to view. In this case, “My SSD 360 Review for Jane Doe”. 3 4 3 4

    new page that opens, you will now see a summary of the review for the selected employee. This includes which Raters have completed the evaluation as well as the *average rating per Rater. *

    Evaluation Summary, you can view the status of the various 360⁰ evaluations that were sent out. NOTE that you will only be able to view the Category of each selected Rater as their names will be anonymous. This is to ensure that feedback cannot be linked to a particular person. 5 5

    manager, you may choose to “Add New Participants” which will allow you to select more Raters for the particular employee. 6 6 NOTE: Do not use the “Remove Selected Participants” functionality. No feedback should be deleted from the 360⁰ evaluation and Raters are anonymous.
  8. 2. Viewing rating progress – manager 360⁰ Evaluations In addition,

    you can select to “Send Reminder to All Participants” to complete the evaluation. Note that this option is most suitable when no responses have been receive. You may also choose to “Send Reminder” to certain individual Raters. Note that you will not be able to see the name of the rater, but only the category of rater. 7 8 7 8

    same page, you can select to “Recall” your evaluation of the particular employee. This will give you the opportunity to redo the rating. Finally, you can select to “Send Back” the rating to any rater for additional information. A comment box will open which allows you the opportunity to specify what additional information (eg. Comments) you need. 9 9 10 10

    your Username, Password and click on the “Log In” button. Click on “Home” at the top left of your landing page and then click on “Performance”. 1 1 2 2

    the left of your screen, under “All Forms”, click on “Completed”. Under the “Form Title” field, click on “My SSD 360 Review for <your name>.” 3 3 4 4 NOTE: As a manager you will be able to view the completed 360⁰ Reviews for your employees in the same manner.

    the next screen, you will see a summary of the SSD 360⁰ Review. This includes an “Evaluation Summary” of who has completed the ratings. Note that you will not be able to see the names of Raters, but you will see the category of your Raters (i.e. peers, self etc.) Click on “Detailed 360 Report”. 5 5

    the new window that opens, you will see a Summary Report for your 360⁰ Evaluation. You can view three types of reports, namely a Graphical Summary View, a Gap Analysis View and a Rank view. Each type of report view will be explained in detail.

    the top of the page, click on “Graphical Summary View”. 1 1 The colour-legend for this report can be seen on the top right of the page. Note that you can also filter the report according to the category of respondents.

    first rating is the Overall Rating. This shows the AVERAGE SCORE by category of rater – thus, the average from scores given by the direct manager or a peer etc. In the Section Comments – Overall, you can see comments by all the Raters on the overall performance. These will be anonymous.
  16. 3. Viewing rating report – Graphical Summary View 360⁰ Evaluations

    Scrolling down you will see the rating PER COMPETENCY. This will include the criteria used to rate the competency, the rating per category of rater (as per the colour-coded legend) as well as the anonymous comments made for this specific competency. Continue scrolling down to view the rating for each competency.
  17. 3. Viewing rating report – Gap Analysis View 360⁰ Evaluations

    At the top of the page, click on “Gap Analysis View”. 2 2 This report enables you to COMPARE any two rater’s ratings with each other. You can thus choose to view the difference between one person’s rating of a competency versus what another person rated on that competency.

    First select the category of rater you wish to perform the Gap Analysis on. You can only select two categories of Raters at a time. The first line will indicate the gap between the overall rating (average) from each category. In this instance, Jane Doe’s overall rating for herself was 7.00 and her manager’s overall rating of her was 7.22. The gap is thus 0.22. 3 3

    Scrolling down you will now see the gap analysis PER COMPETENCY. This will include the criteria used to rate the competency, the ratings of the categories you have selected for comparison as well as the gap. Continue scrolling down to view the gap analysis for each competency.
  20. 3. Viewing rating report – Rank View 360⁰ Evaluations At

    the top of the page, click on “Rank View”. 4 4 This report enables you to view your competencies RANKED from highest to lowest based on the received ratings. You can choose the category of rater in the legend.

    down you will see the ratings PER RANKING (from highest to lowest). This will include the criteria used to rate the competency as well as the ratings for that competency. Continue scrolling down to view each of your ratings according to their ranking.

    print any of the three reports available by clicking on “Print” or “PDF Print”. Remember that the report will print based on which view you selected and is currently displayed on your screen. 5 5
